Carnegie Public Library Board of Trustees Meeting                                          June 4, 2009 @ 5:00 PM

Present:  Kathy Agnew, Chair; Susie Mosness, Vice-Chair; and Trustees Dale Garrett, Linda Larson and Betty Streeter.  Librarian Kate Lewis was also present.

Minutes:  Minutes from May 14, 2009 were amended and approved by all as amended.

Public Comment:  Lauren McMullen from the Montana State Library was present to discuss the advantages to enrolling in the statewide downloadable audio pilot program.  Lauren has been using downloadable audio-books for two years so she was able to explain to all present how to use the OverDrive Media  Console.  She explained how 2000 volumes are available and how one goes about checking out an item.  The Montana State Library has now moved to Phase 5 in enrolling 32 libraries that share the Montana State Cataloging service.  This service is a shared collection of audio downloadable content accessible to library patrons via their individual library card.  After a discussion on the cost of the MyMt2Go audio-download pilot, Trustee Garrett moved to enroll the CPL in Phase 5 of the statewide project using funds from the Capital Resource Fund.  Betty Streeter seconded.  The enrollment fee will be $1,500 and the annual fee will be $700.  All approved.  It is possible that LSTA funds will cover $500 of the initial expense.

Old Business

Capital Resource Fund Report:  The CFR Fund now holds $35,762.  Trustee Larson moved to pay Sue Tooley $26.00 for the Thank You notes she produced to send to donors to the fund.    Trustee Garrett seconded the motion.  Chairperson Agnew reported that the discussion with Mark Josephson, legal counsel to the FOL, had not yet taken place.  It is hoped this discussion will clarify the spending procedure for the Capital Resource Fund.

Blake Nursery:  Chairperson Agnew reported that she had received a letter from Sandi Blake of Blake Nursery naming the amount of $300.00 per summer for clean-up and herbicides for the Library landscape.  This cost does not include replacement tree bark for the gardens.  Blake submitted a bill for $229.94 which will be submitted to the City as a maintenance expense.

Garbage:  Librarian Lewis reported that no one has come to pick up the recycled items.  Chairperson Agnew said she would ask the City for a pick up schedule.

Bench:  Agnew also said she would ask the City if they want the bench that was removed from the front yard for a park.

Library Director Job Decription:  Trustees Larson and Streeter were assigned to review the various samples of job descriptions and bring the best one to the next meeting.  The Board will then refine it in order to update the Director’s job description and evaluation tool.

Color Copier:  The subject of the copier was tabled until the next meeting.  Librarian Lewis was asked to compare the four copiers and make a recommendation.
