Board of Trustees Meeting

April 14, 2011 @ 5:00 PM

MINUTES

Present: Linda Larson, Board Chair; and Trustees Kathy Agnew, Doris Roots, and Ann Tyler. Librarians Kate Lewis and Jacque Scott each attended part of the meeting. There was no public present.

Approval of the Minutes: Trustee Agnew moved that the March 10, 2011 minutes be approved. Trustee Tyler seconded the motion and all approved.

OLD BUSINESS:

Library Budget: The budget report from the City had not arrived yet. Lewis agreed to e-mail them to the Board when they were available.

CFR Fund: Lewis reported on the list of items approved for CFR spending for this year. She will order the dry erase board, the people counters and the carpet shampooer online. One half of the microfilm for the Big Timber Pioneer has been delivered from Proquest. The invoice was paid. The other half of the microfilm will be coming from the Montana Historical Society toward the end of May. The PPL Grant must be resubmitted in May as the PPL is not accepting currently accepting grants.

Carpet Cleaning: The Library carpet was cleaned very well by Guardian Service out of Livingston on April 11. They cleaned the heavy traffic areas and the meeting room for $601.

Lewis also reported on a Montana Memory Project meeting that she attended at the Montana Library Association conference in Billings last week. The MMP has made it part of their mission to be an on-line storage place for Montana digitized newspapers. Once the Big Timber Pioneer is in digital format, it can be uploaded to the MMP where it can be accessed by computer by anyone.

NEW BUSINESS

Blake’s Nursery: Chairperson Linda Larson met with Sandi Blake of Blake’s Nursery to decide on which part of the Library landscape will be cared for by the Blake Nursery. It was agreed that for $300, Blake’s will do the pruning, take care of the pre-emergent and replenish the mulch and gravel in the flower beds. The gravel and mulch will be additional expenditures. The Garden Club will take care of the rest and the City of Big Timber will continue to mow the grass. Trustee Agnew made the motion to accept the plan which was seconded by Trustee Tyler. All approved.

FOL Book sale: The Book sale will be April 20-23 in the Community Room.

Jacque Scott: Technology Report

Presented the 4 new e-readers (2 Nooks, 1 Kindle, 1 Pandigital). Updated Board that we are in the process of writing an e-reader policy and will present to the board for changes and approval. The Board did ask if we could require credit card information to check out e-readers. We will look into that.

Informed the board the new Dreamweaver software has been purchased through the FOL and installed on the office PC .
